CONTROLLER (PART-TIME) – FORT MYERS

SUMMARY: Responsible for all administrative and accounting functions in relation to LandQwest Commercial, LLC; Property Management, LLC, LandQwest Asset Recovery, LLC, and its affiliates. This job requires the individual to work part-time in a rapidly developing office environment.

PROPERTY MANAGEMENT DUTIES (80%)

ACCOUNTING SOFTWARE:

  • Yardi Voyager 7S
  • MRI

MANAGEMENT:

  • Maintain documented system of accounting policies and procedures
  • Manage outsourced functions
  • Oversee accounting department operations, including organizational design/structure that’s adequate for achieving departmental goals and objectives
  • Oversee accounting operations of subsidiary corporations, especially their control systems, transaction-processing operations, policies and procedures.

TRANSACTIONS:

  • Ensure accounts payables are paid in a timely manner
  • Ensure all reasonable discounts are taken on accounts payable
  • Ensure accounts receivables are collected promptly
  • Process monthly escrows
  • Monthly Journal Entries
  • Amortization and Depreciation Schedules
  • Ensure periodic bank reconciliations are completed
  • Ensure required debt payments are made on a timely basis
  • Sales Tax Filing
  • Rent Charge Ups – due on or before the 1st of each month for all tenants
  • Rent Increases (CPI and Standard)
  • Maintain spreadsheets for utilities, mortgages, taxes, and insurance
  • Utility Changeovers are handled in a timely fashion
  • Year End Tenant Reconciliations for CAM, Taxes, and Insurance
  • Maintain the chart of accounts
  • Maintain an orderly accounting filing system
  • Maintain a system of controls over accounting transactions

REPORTING:

  • Issue timely and complete financial statements
  • Coordinate the preparation of the corporate annual report
  • Recommend benchmarks to measure the performance of company operations
  • Calculate and issue financial and operating metrics
  • Manage the production of the annual budget and forecasts
  • Calculate variances from the budget and report significant issues to management
  • Provide for a system of management cost reports
  • Provide financial analyses as needed, in particular for capital investments, pricing decisions, and contract negotiations

COMPLIANCE:

  • Issue timely and complete financial statements
  • Coordinate the provision of information to external auditors for the annual audit
  • Monitor debt levels and compliance with debt covenants
  • Comply with local, state, and federal government reporting requirements and tax filings

 

PRINCIPAL DUTIES (10%)

  • Amortizations
  • Bank Accounts – Opening new accounts; negotiating rates with lenders on interest rates
  • Creation of Files as needed
  • Credit Card Processing
  • Maintain spreadsheets on Lines of Credit
  • Owner Funding/Money Transfers – between companies or net rents to Landlords
  • Principal – Life Insurance payments
  • Promissory Notes (set up in Yardi with affiliated property)
  • Tracking of various personal accounts via spreadsheets
  • Year End Journal Entries

 

COMMERCIAL BROKERAGE DUTIES (10%)

ACCOUNTING SOFTWARE:

  • QuickBooks
  • Companion (Agent & Deal Management)

ADMINISTRATIVE:

  • 1099 for all qualifying vendors – sent out before government deadline; File and Mail to IRS with corresponding 1096’s.
  • Credit Card Monthly Reconciliation and Bill Backs
  • E&O Insurance – assist Principals with forms as well as bill backs for Agents.
  • Maintain filing system of payables, receivables, and reports
  • Financials – review with Fred/CFO in Ohio for any journal entries
  • Florida Filing – Annual through www.sunbiz.org for all Florida Companies
  • License Filling – State of Florida
  • Petty Cash Reconciliation
  • Tangible tax filing – Lee County

AGENTS / LEASING:

  • With Companion Software – input set up, administration
  • Reports for Principals
  • Processing of Commissions for Agents
  • Set up and implementation of Companion software

CORPORATE BUDGETS:

  • Assist in Annual Budget Projections and input in software

WEEKLY PROCESSES:

  • Recording of all incoming and outgoing transactions in the form of income and payables

 

ASSET RECOVERY DUTIES (AS ASSIGNED)

ACCOUNTING SOFTWARE:

  • QuickBooks

ADMINISTRATIVE:

  • Assist Receiver in any aspects needed for new accounts
  • Maintain filing system of payables, receivables, and reports
  • Monthly Billing of Fees

CORPORATE BUDGETS:

  • Assist in Annual Budget Projections and input in software

WEEKLY PROCESSES:

  • Recording of all incoming and outgoing transactions in the form of income and payables
